How to compare HVAC quotes without getting burned

Two HVAC quotes are only comparable when they price the same scope: equipment model numbers, sizing method, ductwork corrections, permits, and warranty terms in writing. If a quote is missing any of those, it isn't cheaper — it's incomplete. This checklist turns a stack of estimates into a real decision.

Quick answer

Two HVAC quotes are only comparable when they price the same scope: equipment model numbers, sizing method, ductwork corrections, permits, and warranty terms in writing. If a quote is missing any of those, it isn't cheaper — it's incomplete. This checklist turns a stack of estimates into a real decision.

  • A quote without model numbers and a load calculation isn't a quote.
  • Verify the license — MD, DC, and VA all require one, and numbers are checkable.
  • Compare warranty terms (parts AND labor), not just the bottom-line price.

When should you gather multiple quotes?

For any full system replacement or new installation — the price spread between bids in our region can be thousands of dollars for genuinely different scopes. For small repairs, a trusted company's diagnostic is usually enough.

The checklist

  1. 01° Exact equipment listed — brand, model numbers, and SEER2/AFUE ratings, not 'high-efficiency system.'
  2. 02° Sizing based on a load calculation (Manual J) or at minimum a real measurement walk-through — never 'same size as the old one' by default.
  3. 03° Ductwork inspected and any corrections priced — a new system on leaky ducts wastes the upgrade.
  4. 04° Permit and inspection included and named — MD, DC, and VA jurisdictions require them for replacements.
  5. 05° Contractor license number on the paperwork (verify it — e.g. Tario's MD HVACR #90754 is public record).
  6. 06° Parts warranty AND labor warranty terms in writing, with durations.
  7. 07° Removal and disposal of the old equipment included.
  8. 08° Total price with payment schedule — and financing terms if offered (who the lender is, e.g. Wells Fargo).
  9. 09° Start-to-finish timeline, and who handles inspection scheduling.
  10. 10° No pressure tactics — 'this price expires today' is a red flag, not a deal.

The lowball trap

The cheapest bid often excludes the permit, reuses undersized ductwork, or installs unnamed equipment. You find out at inspection time — or worse, on the first 95° week. Incomplete scope is the most expensive thing you can buy.

Comparing equipment tiers blind

A two-stage or variable-speed system SHOULD cost more than a single-stage unit. Make sure you're comparing the same tier across bids before concluding one company is 'expensive.'

Common questions

How many quotes should I get?

Two or three complete quotes is plenty. More than that usually adds noise, not signal — the goal is comparable scopes, not a bidding war.

Should the contractor come to my house to quote?

For a replacement, yes. A credible installer needs to see the ductwork, the electrical panel, the equipment location, and the house itself. Sight-unseen replacement quotes are guesses.

Is the cheapest quote ever the right choice?

Sometimes — when it's a complete scope from a licensed installer. The checklist above is exactly how you tell a lean, honest bid from a corner-cutting one.
